Re: software/app
I just use Account Tracker, an app on my phone, and updated spreadsheets to alert me to average rate of consumption at each site and date of last visit. Tbh you don't need to track your stock as closely as you think. Ie I question whether time/money spent on additional software would be worth it.

If you employ staff, or if you're selling up you will need to track usage. I stopped taking records a few years ago. I never used the information, was a waste of time collecting it. For accounting purposes my banking is my sales.

How many machines do you guys run? I'd be worried about getting so many machines out that I'd neglect sites and loose the site.

Personally I only have approx 100 machines out there. Seemed a lot a year ago. Less so now. I believe the big operators have about 400!
A 'last date visited' spreadsheet works pretty well for me. I have the primary information on my iPhone finance app which I use at each site as my record keeper of £1's taken.
