I agree that the changes will add some time to your already busy days. Unfortunately, the changes are dictated by H4H.
I tried and tried to get them to use the existing way of donating, but to one central donation pot which we would add the VAT to at the end of the quarter.
H4H want to "tidy up" the way they get the donations in from the machines, they want (some) traceability and accountability and they see this as the way that it works best for them. They no longer want the donations through the route they have them at the moment.

what i dont understand is how they going to stop the existing route being used? they cant deactivate everyones bmi surely? and if they did a cheque could just be posted by operator with same info.

The best thing to do would be for anyone with these kinds of questions

I am grateful for your efforts to try and obtain a balanced transition from the current system to the one h4h say they require. I feel strongly that H4H should to take a fresh look at this and take account of any concerns aired. Having our vendors raising money for this charity is a good and rewarding thing to do. The benefits for operators are often better than average sales and for most an additional 10% income against commission based sites. For H4H it is a rich source of cash, for zero risk, or investment. In the last 12 months I have had 3 h4h machines damaged and one trashed completely, which is difficult to deal with.
Help for Heroes don’t seem to want to support , or communicate with us, which is rather disappointing. To have a system imposed in this way is not helpful. It would have been better received, if they had involved us from the outset. After all, we are the people who have invested time; effort and money to help them raise much needed funds.
For me, the time it is going to take to place the correct commission amounts to the relevant site identifier are far too long. In order to meet their audit requirements, the stencil used must be the same for all. This needs to be provided, or agreed by h4h, before it is issued via suppliers to operators. I will begin the process from the agreed date and when I have the agreed stencil, but will closely monitor the time it is taking to comply. Should I consider the time to be excessive, I will consider charging an appropriate amount for my time against the commissions raised.
I would be interested to find out if other h4h operators feel the same.

i've read all of the posts a couple of times and i'm really confused... i think that we should all carry on donating directly online or over phone etc doesnt seem that theres any clear reason for doing differently, i certainly can't see the benefit to the individual operator of sending commissions to a central account. and why should they be sent to someone like tubz vending/hurleys? am i missing something here?

As I understand things, you wont be able to continue using your b my charity; cheque , or direct transfer from a certain date, as this method is no longer accepted by the charity for regular donations. Its different if you are raising ad hoc amounts from bring and by sales etc.
If you read the post made by Paul at Hurleys you should get the drift. The issues are about how we record the commissions to meet the minimum legal audit requirement for regular charitable donations and how time consuming this will be. In addition, I think we need to see the letter from H4H that Paul from Hurleys has said is in the pipeline. Hopefully this will add clarity.

i think its more about charities wanting a fixed amount to use their logos and for anyone to be officially endorsed by them. loads do it, a fixed amount is agreed by the charity and this has to be met to use their branding. hurleys have said all the money will go to H4H and i trust they will prove it? i reserve judgement on tubz vending.

Say you use tubz vending/Hurleys and Sweetfix stock or a mixture of any of the 3, who are you meant to pay the money too??

I do think it will be better if all the money is chanelled via the dedicated charity account. I used to pay my commissions directly via my online banking, but h4h contacted me and asked me to set up a bmi, because they could not find my donations. Now that everyone is using the bmi, I think they must have realised how much is being donated and therefore want to claim the vat back, which could be a chunk of money and ensure that they meet the criteria for audit. My only gripe is the time it is all going to take to do the paperwork and the lack of communication by h4h.

but where is the advantage of doing this in terms of auditing? it just shifts the burden of working out how much they get from the machines from H4H to us, which I guess makes sense from their point of view if they want to claim back vat.

I really like the fact that I can direct customers to the b my charity page and that I have direct control of the donations. i don't know how other people do it, but if i've collected a certain amount of money from my H4H sites i know how much I need to donate at the end of the day...thats a lot easier than submitting a donation for every site.
